Because any trip you take requires deposits and in some cases full payment prior to travel, depending on the lead time of your booking, you need to be sure you are working with an operator you can trust and who will refund any unused deposits in the event of cancellation. We will provide you with detailed contract conditions for your booked trip which clearly shows how we hold deposits and our refund and cancellation procedures. From arrival to Final departure, we use only Private Transportation for all Airport Transfers and even long drive tour. We never use Overloaded Local buses or shared CAR which is more risky, slow and very uncomfortable. All our Vehicles are at well condition fully safe driving by experience Licensed Driver. There will be always Airport transfer guide with Private vehicle & driver ready to go. Most of our treks have included round trip domestic flights to ensure comfort trekking experience as well as to save time. In case of flights are not accessible destination, we use Private CAR drive or at least DELUXE Tourist buses. We take care of every comfort that we can provide you.

Our entire itinerary is well designed in order to meet all rest & Acclimatization during trekking & climbing. However any reason, if guest would like to change it, it is possible. Sometime due to sick or bad weather or any reason, the itinerary necessary to be change, at that time guests could directly discuss with guide and plan their own itinerary. We look after our staff:
Without our staff we don't have a company. Our porters and guides are employed by us and earn a fair wage, with health insurance. Our staffs are payed extra allowances in special festivals and occassions. We have been looking after the few kids of our poor staffs for school and books. When They're happy then you can be too. J

Terms & conditions
For the services agreed & contracted, 30% of advance payment should be made to hold the booking on a confirmed basis and the balance amount can be paid either before your departure from your country or upon arrival in Nepal - but obviously before the commencement of our services. We hold the right to decide upon the amount to be paid as an advance payment, based on the nature of services and the time left for the commencement of your services.
Apart from the above in some cases like special hotel or resort bookings during the peak season, full payment is required to be sent in advance.
Mode of Payment:
Overseas advance payment can be made through wire transfers to our bank or by using your visa or master card. Upon arrival in Nepal, the payment can be made through currency notes or credit card with 4 % extra charge.
Policies Regarding Cancellation / NO SHOW / EARLY DEPARTURE
In case of cancellation of tour/travel services due to any avoidable/unavoidable reason/s we must be informed in writing. Cancellation charges would be effective from the date we receive your communication in writing and cancellation charges would be as stated below:
- 60 days prior to arrival – No cancellation (Except deposit)
- 45 days prior to arrival - 10% of the tour/service cost.
- 15 days prior to arrival - 20% of the tour/service cost.
- 07 days prior to arrival - 25% of the tour/service cost.
- 48 hours prior to arrival - 50% of the tour/service cost.
- Less than 48 hours or no show - NO REFUND.
In case of special journeys and peak season hotel bookings, a separate cancellation policy is applicable (which would be advised as and when required).
In case you cancel the trip after commencement, refund would be restricted to a limited amount & that too would depend on the amount that we shall be able to recover from the hoteliers we patronize. For unused hotel accommodation, chartered transportation and missed meals etc. we do not bear any responsibility to refund.
Refunds
With regard to refund of unused/unutilized services (which are paid for and cancelled in advance) the refund amount would be worked out on the basis of cancellation policies as described above and the money will be refunded to the person who has made the payment to us. Please note that the refund process may take 2-4 weeks due to banking procedures. If the refund is made to the credit card amount or to bank account, the bank charges would be debited from the refund amount.
Last Minute Bookings:
We can accept your last minute booking with 100% payment not less than 7 days prior to tour beginning if booked overseas and ONLY IN CASES OF NEPAL TRIPS. We cannot accept LAST MINUTE BOOKING FOR INDIA, BHUTAN AND TIBET TRIPS. If you are in Nepal and wish to take a trek, please contact us as we schedule an immediate departure to Nepal destinations too.
I can't complete the Tour:
Incase of incompletion of Trek or Tour, the company does not refund for uncompleted area.
If we cancel your trip:
If the company has to cancel your trip on 15 days or more from your starting date due to sudden issues such as natural disasters, conflict or anticipated weather then we will try to place you on the alternative trip of a similar type and standard. If you do not wish to go for it then we will refund your entire amount back.
A note about internal flights:
Frequently delays or postponement of flights in the Himalayas due to weather, equipment issues or other matters not under our control is something we have to face. This is particularly true for places like Everest (Lukla), Jomsom, Dolpa, Simikot and Jumla and some areas of India. To trek in remote areas especially off season, we advise you to allocate extra days to your trip schedule pre, during and post for possible delays to avoid missing return flights back to your home country. As noted above, delay costs (food, accommodation etc.) will be your responsibility.
Our liabilities & limitations:
· The Destination Kathmandu Vacations will act only in the capacity of agent for the hotels, airlines, transporters, railways & contractors providing other services & all exchange orders, receipts, contracts & tickets issued by us are issued subject to terms & conditions under which these services are provided by them.
- All itineraries we give you are sample itineraries, intended to give you a general idea of the 'would be'' trip schedule. Numerous factors such as weather, road conditions, the physical ability of the participants etc. may dictate itinerary changes either before the tour or while on the trail. We reserve the right to change any schedule in the interest of the trip participants' safety, comfort & general well being.
- Our rates are based on the prevailing rates as negotiated by us with the hotels, airlines etc. Hotels and Airlines retain the right to modify the rates without notice. In case of such changes the rates quoted before the modification, can be changed by us according to the modifications by hotels or airlines. All hotel bookings are based on usual check in and check out time of the hotels until unless indicated in the itinerary
- We shall not be responsible for any delays & alterations in the program or expenses incurred - directly or indirectly - due to natural hazards, flight cancellations, accident, breakdown of machinery or equipments, breakdown of transport, fluctuating weather patterns, sickness, landslides, political disturbances or any untoward incidents.
- We shall not be responsible for any loss, injury or damage to person, property, or otherwise in connection with any accommodation, transportation or other services, resulting - directly or indirectly - from any act of GOD, dangers, fire, accident, breakdown in machinery or equipment, breakdown of transport, declaration of war, civil disturbances, strikes, riots, thefts, pilferages, epidemics, medical or custom department regulations, defaults, or any other causes that go beyond our control.
- We do not have any insurance policy covering the expenses for accident, sickness, loss due to theft, or any other reasons. Visitors are advised to seek such insurance arrangements in their home country. All baggage & personal property/s at all times are at the client's risk.
When making your bookings with us it is implied and accepted that you have read and understood all these booking conditions and agree to abide by them for all of our good standings, in your services; & for your overall well being when far from home.

Festivals and public holidays of Nepal:

departed soul, to herald a different season, to mark the beginning or end of the

Important things to know about
Tibet:
BOOKING AND VISA:
The clients should have confirmed the tour reservation at least thirty days
before departure along with advance of 25% of the cost and the following
passport information:
(1) Name (2) Sex (3) Nationality (4) Passport number (5) Date of birth (6)
Occupation.
We require three full working days to obtain a TIBET/ CHINA Visa. The client
should be available in Kathmandu during that time.
CANCELLATION POLICY:
50% of the cost will be charged for confirmed bookings upto 7 days prior to
departure to TIBET after that NO REFUND will be made. NO refund for no shows and
delay arrivals at airport whatsoever reason.
TOUR OPERATION
Destination Kathmandu guarantees the departures of all tours with minimum number
of persons mentioned in the programs and based on seat-in-coach. However,
operations of tours are subject to road condition and flights.
HEALTH & ALTITUDE PROBLEMS:
Traveling in Tibet involves high altitude and can be strenuous. Clients with
heart and lung problems or blood diseases should consult their doctor before
booking the trip. Very rare cases of altitude sickness have been report-ed.
Simple headache; fever, loss of appetite or stomach disorders can happen before
the acclimatization. Some advice: drink approx. 03 liters of water per day, do
not strain yourself, move slowly, breathe deeply and take regular rests.
CLOTHING ACCESSORIES:
From Oct. to March warm clothes are required due to c- old and from April to
September only light clothes will be enough. However, a jacket and a sweater are
advised through out the year as the weather may unexpectedly change at any time.
The recommend items are: A domestic first aid kit, water purification tablets,
toilet and tissue papers, flashlight, sleeping bag, comfortable walking shoes,
dust masks, utility knife, sun hat, sun glasses, suntan lotion and a limited
number of clothes.
INSURANCE :
Full travels insurance coverage, particularly for the trip cancellation and
interruption is strongly recommended.
RISK AND LIABILITY:
Destination Kathmandu will do every effort to make your journey a pleasant one.
As Tibet Tourism Authority strictly conducts all the Tibet programs, we will not
be responsible for any change/alteration of programs, sightseeing in restricted
areas, problems, accidents, loss of personal belongings etc. In such cases, the
clients have to bear the extra cost on the spot.
THE CLIENTS TRAVEL TO TIBET AT THEIR OWN RISK:
We strongly recommend our clients to be protected by insurance to cover
accidents, health, emergency evacuation, loss or damage of person belongings. We
can also arrange this coverage upon request at extra cost.
A separate form has to be signed by the clients accepting the mentioned
conditions at the time of booking the tour.
CUSTOMS:
There is no prohibition on still and video cameras, tape recorders or radios as
long as they are registered with a custom official. Printed matters considered
unsuitable by the Chinese Government are prohibited, Customs regulations forbid
the ex- port of art objects created prior to 1959 or souvenirs in amounts deemed
to be excessive.
BUSINEESS HOURS:
Government offices are usually closed on SATURDAY afternoon and all day SUNDAY.
CURRENCY:
The unit of currency for foreigners is Yuan. US$ 1= 8 Yuan at present and can be
exchanged at the bank of China at Zhangmu, Shigatse and Lhasa.
AIRPORT TAX :
The airport departure tax at present is equivalent US$ 12.00 per person.
